Your major responsibilities will include data entry, raising purchase orders, paying invoices and general administration and answering phones
Perform day-to-day administrative/secretarial duties (answer phones, create and edit documents, faxing, filing) for the Office Managing Partner* Manage calendars and coordinate the travel arrangements * Complete time and expense reports for the Partner and other management staff* Coordinate conference calls and meetings* Prepare check requests* Prepare and maintain the marketing database* Maintain the reporting and filing systems, department rosters, and mailing lists* Prepare correspondence, high-level presentations and workshop materials, and billing and expense reports* Coordinate support with other Administrative Assistants* Provide backup support for the switchboard, if necessary* Additional duties and responsibilities as needed. Qualifications:* Must have a minimum five years of administrative experience* Proficiency in MS Word, Excel, PowerPoint, Outlook and Internet searches is essential* Strong communication, organizational, and prioritization skills are required* Must be a proactive self-starter, demonstrate confidentiality, and be flexible to work overtime
Duties include open and date stamps mail, including resumes, received by post, fax and e-mail and distributes as required. Creates, inputs, and manages databases. Develops and maintains files. Sorts and files all documents
Maintains records by spreadsheet, updating as necessary. Develops and maintains tracking mechanisms as required. Schedules meetings as required, organizing agendas, refreshments, attendees and keeping and distributing minutes. A minimum of a High School Diploma.
Highly computer literate including Microsoft Office Suite. Ability to learn and manage the higher technology of office equipment. Salary $2500US
Role includes interaction with customers and general office manager duties. Compensation includes a salary range of 45 – 50K US per year. Provide administrative support to Partner and Managers
Provide word processing and other document preparation including proofreading; prepare reports and presentations. Handle travel and meeting arrangements and complete time and expense reports. Handle reconciliation of client billings, both domestic and international
